Use reports to prevent the next ticket

Monthly reporting should reveal more than how many requests were closed. Look for repeated faults, ageing equipment, risky access, delayed updates and tasks that consume avoidable staff time. Agree a small improvement list and track who owns each action. Some issues can be removed through training, standard configuration or a planned replacement rather than repeated troubleshooting. Review supplier performance and upcoming renewals before they become emergencies. Review the agreement as the organisation changes
New offices, applications and working patterns can make an old support scope unreliable. Revisit the agreement at planned intervals and after significant change. Update contacts, priorities, assets and security responsibilities while the information is fresh. Include lessons from recent incidents and recurring requests. A living agreement keeps expectations realistic and prevents important new systems from sitting outside support by accident.
